Keep clients informed without the manual follow-up
When a session is booked or cancelled, Counselling Buddy can automatically notify your client by email. No copying and pasting, no remembering to send a confirmation - it happens as part of the booking or cancellation action itself.
Three send modes - you decide what fits your practice
Not every therapist wants the same behaviour, so confirmation and cancellation emails are fully configurable from your account settings.
Always send
A confirmation or cancellation email goes out every time, automatically. You don’t have to do anything - the system handles it.
Never send
Emails are never sent automatically. Useful if you prefer to handle client communications manually, or if you communicate via a different channel.
Prompt each time
Each time you create or delete a session, the platform asks whether you want to send the email for this particular booking. Gives you full flexibility without committing to a blanket rule.
Policy documents in confirmation emails
Confirmation emails can include your practice policy documents - such as your working agreement, cancellation policy, or no-show policy. This is configured in your account settings.

Getting started
- Go to Settings → Notifications in your account
- Find the Confirmation Emails section and choose your send mode - always, never, or prompt
- Configure any policy attachments if relevant to your practice
- Book a session - the confirmation behaviour will follow your settings from this point on
